Privacy policy

The McConnell Foundation respects confidentiality and the privacy of its online visitors. This statement discloses our policy in terms of the information we collect and how we use it. By providing information to the Foundation — whether by applying for employment or philanthropic funding, signing up for our newsletter, attending in-person or online events, or using our website— you consent to our use of that information in accordance with this policy.

 

How we use information

Information submitted to the Foundation is kept strictly confidential.  Moreover, access to personal information is granted only to authorized employees who require such information for the performance of their duties. Users who register for any purpose may request to be removed from our email list and any other electronic distribution list, at any time. The Foundation reserves the right to contact any registrant at any time to forward information, respond to questions or provide notification of any changes to our registration policy.

We collect two types of information: 1) voluntary information that you provide directly to us and 2) information that is automatically collected when you visit our website. Below are the ways we use the different types of information we collect.

 

1-Voluntary information collection:

Contact form and Virtual Office Hours Registration

When you contact us for any reason using the t, we may collect and store the following information:

  • Name, email address and phone number
  • Organizational information
  • Any other information that you choose to provide
  • Newsletter registration confirmation (if applicable)

We my use this information to respond to inquiries, as part of the administration of a grant, contract for services or investment contract, compare and review your personal information for accuracy, send you information about changes to terms and policies, for other purposes disclosed at the time of collection or otherwise compatible with the above and applicable law.

 

Newsletter registration

If you register to receive our newsletter, you will be asked to provide and any other information that you choose to provide. We may use this information to send you emails about the Foundation’s activities and to provide information relevant to the programs or activities we think may be of interest to you (such as conferences, events or third-party funding activities).

 

Employment applications 

If you apply for a position with McConnell, you will be asked to provide personal information through our During the application process, we may collect the following information:

  • Name, address, e-mail address and telephone number
  • Website and/or social media contact information
  • Resume, work history, work authorization status, education, skills, professional licenses, permits or certifications, and references
  • Your status as a member of an equity-deserving group
  • Other information you choose to provide

We have a new protocol on collecting information about equity-deserving status from applicants and we would explain in the postings that declarations are optional and confidential, meaning that we use this information for positive discrimination (ensuring that we consider equity deserving canddiacy at each step in the process), and to determine our reach to equity-deserving communities.

We will use this information to respond to inquiries, schedule interview, process your employment application, including assessing your suitability for the position to which you are applying as well as future open positions. Information provided on the Bamboo HR portal is subject to its own privacy policy.

 

Philanthropic funding applications (grant applications) 

 

If you apply for philanthropic funding, you will be required to create an account using our Fluxx grant management platform. Data supplied through the Fluxx platform is stored in Canadian servers and is subject to Canadian laws and regulations. We may collect the following information:

  • Personal name, email address and telephone number
  • Organizational information, including name, email and mailing address, staff names and banking information
  • Other information you choose to provide.

We will use this information to assess your funding application, as part of the administration of a grant or contract for services, to compare and review your personal information for accuracy, send you information about changes to terms and policies, for other purposes disclosed at the time of collection or otherwise compatible with the above and applicable law. Information provided on the Fluxx grant management system is subject to its own privacy policy.

 

2-Automatic data collection

Consistent with most websites, the Foundation uses cookies to collect information and ensure the proper functioning of our website. A cookie is a small text file that is stored on your computer or other device, when a website is loaded on your browser. The cookie will help the website recognize your device when you make a return visit to the website. Cookies cannot access any information on your computer and most web browsers automatically accept cookies.

We use two types of cookies: 1) cookies that enable basic functions that are necessary for the site to operate properly, and 2) analytic cookies that help us understand how visitors use our website and helps us provide more useful information to visitors. These cookies help us understand which parts of the website are of most interest to our audiences. We also use the cookies to test new designs and site features, and to determine how users are reaching our website.

When you visit our website, we collect information linked to your device that does not directly identify you personally, including:

  • IP address, the type of browser or device you are using, referring and exit pages, domain and other system settings and operating systems
  • Information regarding how you interact with the website including the date and time of your visits, webpages visited, and links clicked.
  • Demographic data including location, gender, age range, browser language and general interest provided by Google Analytics.

Most Web browsers automatically accept cookies. You can opt out by changing the corresponding settings in your browser, if the system permits it. Doing so, however, may interfere with the functionality of our site.

Disclosure of personal information to third parties

The information you provide either directly with us or automatically via website data tracking will not be traded or sold to outside organizations. However, we do transfer information to third party vendors who help us manage our services. They are listed below:

  • WordPress: When you fill in our contact form, your information is saved on our WordPress content management system. This data is stored in Canada.
  • 10to8: When you register for an Office Hours appointment, your information is saved on 10to8’s platform. This data is stored in the United Kingdom.
  • Fluxx: When you create an account on our funding management platform, your information is saved on servers located in Montreal, QC, Canada.
  • Bamboo HR: When you apply for a job with McConnell, your information is saved on Bamboo HR servers located in the Montreal, QC, Canada.

Additionally, in some circumstances we are obliged to disclose personal information to government bodies, law enforcement agencies and other third parties under applicable laws in order to comply with legal process and/or legal obligations; to respond to requests or requirements from public, law and government authorities; to enforce our terms and conditions; to protect our operations; to protect our rights, privacy, safety or property, and/or that of you or others; to allow us to pursue available remedies or limit the damages that we may sustain; and to prevent or stop activity we may consider to be, or to pose a risk of being, illegal, unethical, or legally actionable activity.

The Foundation assumes neither responsibility nor control over the content, security, accessibility or accuracy of third-party sites to which we may provide links. When leaving our site, please check the privacy policy and security certificates for the site you are visiting before sharing information.

 

Information security and access

To ensure the security of personal information submitted by our users, any information collected is stored in a secure area. We have put into effect appropriate procedures to safeguard and secure the information we collect.

 

Changes to the Privacy Policy

We reserve the right to modify this Privacy Policy as legislative or technological developments require. Changes to the policy will be reflected on this page.

 

Complaints

You have rights regarding the personal information that is gathered by the Foundation. If you would like to obtain, rectify or request the deletion of your personal data we invite you to contact our Privacy Officer below listed below for more information. Additionally, if you wish to file a complaint regarding how your personal information has been used or stored, we invite you to contact our Privacy Officer. Every effort will be made to address the complaint as quickly as possible, and all parties will be treated in a fair, impartial and respectful manner. You also have the right to file a complaint to the Commission d’accès à l’information du Québec if necessary.

Complaints Documentation

The manager must keep a copy of all complaints that could not be resolved immediately (i.e., upon receipt). The Foundation’s People and Culture Manager will keep a detailed log of incoming complaints, along with all relevant information on the subsequent response and resolution. A summary report will be presented to the Board of Directors on a yearly basis.
